1 The Name, Location, Objects and
Type of Club
1.1 The name of the Club shall
be Otliensians Hockey Club (OHC)
1.2 The club shall be affiliated
to Old Otliensians Rugby Club
1.2 The Club shall be situated
in the County of West Yorkshire.
1.3 The objects of the Club shall
1.3.1 To provide a safe, effective
and child friendly environment in which to play and learn
1.3.2 The Club shall be a members
2.1 Playing membership is open
to all individuals aged 16 or over. Membership is subject
to the completion of the club membership form, parental consent
(for members under 18) and the payment of appropriate fees.
2.2 Membership fees will be charged
as agreed at the Clubs Annual General Meeting and be due by
the 1st November.
The following classes of membership
a) Full membership will be restricted
to playing members of the club and will entitle such members
to serve on the committee and to vote at general meetings
b) Junior membership will be restricted
to all playing members under the age of 18 years at the beginning
of the year for subscription purposes. They shall be entitled
to attend but shall not be eligible to vote
c) Social members will be entitled
to enjoy and participate in all social activities of the club.
They shall be entitled to attend but shall not be eligible
to vote at any general meetings of the club. They shall not
be eligible to serve on the committee
d) Non playing membership will
be restricted to ex playing members who will continue to pay
reduced subscriptions and will be entitled to travel on the
e) Travelling membership shall
be for those people who live a long distance away and can
only play for the club occasionally. They have the right to
attend social activities of the club and shall be eligible
to vote at any general meeting. They will not be eligible
to serve on the committee, and will be entitled to travel
on the club tour.
f) Late membership is for those
members who join the club after Christmas. The membership
rate charged will be pro rata as agreed by the committee.
They will have the right to attend social activities, eligible
to vote at any general meeting, although not eligible to serve
on the committee
g) Only playing members over the
age of 18, honorary life members and non- playing members
shall be eligible to travel on the club tour.
h) 2.3 Any member who in the opinion
of the Committee has rendered outstanding services to the
club may be elected an Honorary Life Member, and will no longer
need to pay future membership fees. They have the right to
attend social activities of the club and shall be eligible
to vote at any general meeting. They will be eligible to serve
on the committee if elected, and will be entitled to travel
on the club tour.
3 Committee and Officers
3.1 The affairs of the Club shall
be managed by the Committee of OHC except for matters reserved
for the club in Annual General Meeting.
3.2 OHC Committee shall consist
of Chairman, Secretary, Treasurer, Fixture Secretary, and
3 other members who shall be elected by the Club at the Annual
3.3 A quorum of the committee shall
be 5 Committee members present.
3.4 OHC Committee may appoint one
or more additional officers of OHC Committee for such purposes
as it may deem appropriate.
3.5 Any elected member of the committee,
who shall miss two consecutive meetings without furnishing
an explanation which can be considered satisfactory, shall
therefore resign her seat. The Committee may immediately co-opt
a member of the club to fill the vacancy until the next annual
general meeting if they consider this necessary.
3.6 The Treasurer and/or the Secretary
shall be the signatories for all payments made by the Club
in respect of the current account but only one signature will
be required for each and every payment made. The elected Chairman,
Treasurer and/or Secretary of the Club shall be the signatories
for all payments made by the Club in respect of the savings
account; of which two of the named must counter sign each
and every payment made.
3.7The Treasurer in consultation
with OHC Committee shall be responsible for recording all
financial income and expenditure of the Club and for presenting
a summary of the accounts at each Annual General Meeting of
3.8 The committee shall aim to
meet at least 6 times a year. All decisions are to be resolved
on a majority vote.
4 Payments or Benefits
4.1 OHC Committee may sanction
services to the club to support the day to day running costs;
for example coaching, umpire fees and web site upkeep.
4.2 No payment over £30 shall
be made without authorisation of the Committee.
4.3 All club cheque books shall
require the signatories as outlined in clause 3.6 above..
5 General Meetings
5.1 An Annual General Meeting of
the Club shall be held in the month of April / May every year.
The election of officers, including Committee members for
the ensuing year shall be at this meeting.
5.2 Notice of the time of the Annual
General Meeting shall be given by circulating a notice to
all members for a period of at least 14 days before the date
of such a meeting. This will include minutes of the previous
Annual General Meeting.
5.3 An Extraordinary General Meeting
may be called at any time by OHC Committee or by five members
making a written request to OHC Committee for such a meeting.
Such applications shall state the nature of the business to
be discussed at the meeting
5.4 Every member of the Club who
is entitled to be present at a General Meeting (except junior
and social members) may vote. Should there be equality on
any voting issue the Chairman of the meeting shall have the

6.1 Subscription charges for the
Club shall be agreed at the Annual General Meeting.
6.2 The payment of subscriptions
is due in accordance with timelines laid down by the Committee.
6.2 It is the responsibility of
the playing member to ensure that any outstanding match fees
7 Conduct of Members
7.1 OHC Committee may suspend the
membership of any member whose conduct has been, in the opinion
of OHC Committee, contrary to the interests of the Club.
7.2 Members will be required to
sign a membership form which outlines the club's code of conduct
in accordance with the timescales laid out by the Committee.
8 Changes to the Constitution of
8.1 This Constitution may be altered,
added to or revoked, in accordance with clubs and association
law, by majority comprising two-thirds or more of the members
present and entitled to vote at any General Meeting of the
8.2 A copy of this Constitution
shall be made available to all club members upon request.
9 Dissolution of the Club
9.1 If the Club shall pass in a
General Meeting, by a majority comprising 75% or more of the
members present and entitled to vote, a resolution of intention
to dissolve the Club, OHC Committee shall take immediate steps
to convert all of the assets of the Club into money.
9.2 The proceeds of the conversion
shall be used by the Committee firstly to discharge all the
debts and liabilities of the Club. The Committee for the time
being shall then determine how any balance shall be utilised.
10.1 Each officer from time to time of the Club and each person
who was or is from time to time a Member of the Committee
or any Sub-Committee shall (to the extent that such person
is not entitled to recover under any policy of insurance)
be entitled to be indemnified out of any and all funds available
to the Club, which may lawfully be so applied, against all
costs, liens, charges, expenses and liabilities whatsoever
incurred by such person in the execution and discharge of
duties undertaken on behalf of the Club or in relation thereto,
or incurred in good faith in the purported discharge of such
duties, including any liability incurred in initiating, prosecuting
or defending any proceedings, civil or criminal, which relate
to anything done or omitted as an Officer or as a Member of
the Committee or any Sub-Committee as the case may be.
